Privacy notice
Short, because there isn't much to say. This site sets no cookies. It counts visits on our own server, and nothing about you. This notice covers that, what you type into the two forms on this site, and the business details we hold if we emailed you first.
The details
Who we are
Fenwick Automation, Sevenoaks, Kent, UK. The person responsible for your data is Blake Fenwick. Email Blake@fenwickautomation.com.
What the forms collect
The contact form: your name, your company, your work email, a phone number if you choose to give one, your company website if you give it, a rough staff count, and whatever you write about your paperwork. If you came from the page we use for adverts, the form also notes which version of that page you saw.
The calculator: your name, your company and your work email, plus your answers about how many documents you produce, how long they take and what goes wrong, and anything you add in the optional questions. There are no hidden fields that record anything else about you.
Why, and on what basis
To reply to you, arrange the call you asked for, or send the report you asked for. Under UK GDPR the lawful basis is legitimate interests: you contacted us, and answering is the obvious thing to do with that. We don't use the details for anything else and we don't add you to a mailing list, because there isn't one.
Where it goes
Both forms go to a small server we run on Railway, a hosting company. It saves each one in a private GitHub repository that only we can open. The emails are then sent from Blake@fenwickautomation.com through Google Workspace: the calculator report to you, and a copy of each form to us. That step uses Claude, Anthropic's AI model, which reads the form in order to send it. It does not write your report: the report is a fixed template, filled in from your answers. Anthropic does not use that data to train its models. No one else receives it. We don't sell, share or trade contact details.
How long we keep it
If we don't end up working together, we delete it 12 months after your last message. If we do, we keep it while we work together and for 6 years after, because that is how long UK business records have to be kept.
Cookies and counting visits
No cookies, no pixels, no third-party analytics, and nothing stored in your browser to track you. No consent banner, because there is nothing to consent to.
We do count visits, on our own server, so we can see which pages are read and which lead to a call. Each day we count how many times each page is viewed, how many times a "Book the 10-minute call" button is pressed and on which page, how many people start and send the calculator, and how many send the contact form. On the page we use for adverts, we also note which version of it was shown. That is all: counts. No IP address, no device details and nothing that identifies you is kept. The counts are saved in the same private GitHub repository as the forms, and no one else receives them.
Your rights
You can ask what we hold about you, ask for it corrected, or ask for it deleted. Email Blake@fenwickautomation.com and we'll do it within one working day and confirm by reply. If you're not happy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
If we emailed you first
We sometimes email businesses we think we could help, before they have contacted us. If that was you, this section explains what we hold and why. We got your details from public sources, not from you.
Who we are
Blake Fenwick, trading as Fenwick Automation. Email Blake@fenwickautomation.com.
What we hold
Your name, job title, business email, business phone, company name and company number. Public facts about your firm. And where each of those facts came from.
We never hold home addresses, personal emails or personal social media. We hold nothing about your health, family or private life.
Where it came from
Your firm's website, Companies House, trade directories and trade press.
Why we hold it
To contact limited companies and LLPs about Fenwick Automation's services. We only email companies. We never email sole traders or ordinary partnerships.
Lawful basis
Legitimate interests, under UK GDPR Article 6(1)(f). We have written a legitimate interests assessment.
How many emails
At most three: a first email, one follow-up and one chaser. Then we stop. We don't track whether you open them.
Stopping it
Reply STOP to any email, or email Blake@fenwickautomation.com. You go on a permanent do-not-contact list straight away.
How long we keep it
We delete it after 365 days with no contact. If you ask us to stop, we keep only your email address, on the do-not-contact list, so we never email you again.
Who else sees it
We don't sell it or share it. Two services hold it for us: Google Workspace (our email) and Anthropic's Claude (which we use to research firms and keep our customer records). They only process it on our behalf.
Your rights
You can ask to see a copy of what we hold, have it corrected, have it deleted, or object to us using it. We aim to reply within one working day, and always within one month. You can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If this notice changes, the new version goes here with the date it changed, shown in the page footer.
The two forms this notice covers are on the Contact page and the paperwork cost calculator. What the business does is on the services page.
