# Paperwork automation for UK small businesses, built one route at a time

Bespoke AI automation for UK small businesses, built one route at a time: what each build does and what stays with a person.

We build bespoke automation for UK small businesses, one route at a time, so the paperwork stops eating your evenings. Not a fixed menu.

## What it runs on, and what it leaves alone

Every system we build runs on Claude. That is the only software we bring. You own the Claude Team plan and the seat the system runs on, in your name, on your bill. Keep paying for the seat and it keeps running. Remove the seat and it stops, the same as cancelling any software. [The Questions page says what happens if we disappear](https://www.fenwickautomation.com/questions.md#if-you-disappear).

Everything else is yours already, and it stays where it is. We do not ask you to change your job system, your accounts package, your spreadsheets or your inbox. We look at what you run today and build around it. The system reads from the places your team already works in and writes back to them. Nothing gets replaced.

We have not tested every piece of software a business might run, and we do not claim to. On the call, tell us what you use, and the audit says exactly what the build would touch and what it would not.

[How a build works, and where a person checks](https://www.fenwickautomation.com/ai-automation.md).

## The shapes a build most often takes

Each one is sold on its own, for a fixed price that comes from the audit. One route is built at a time, and it runs alongside the old way before it replaces anything. Each page says what the build does, what it needs from you and what stays manual.

- **Pipeline automation**: Take on more work with the office you've got. A job reaches a stage and the things that stage needs are raised on your rules: the folder, the tasks, the chase. A job that is missing something goes back to a named person with a list, and the email to the client is drafted for them to send. **Show the list** 1. 2. 3. 4. [Pipeline automation: what it does and what it needs from you](https://www.fenwickautomation.com/services/pipeline-automation.md)
- **Estimation**: The quote goes out while the enquiry is still warm. The enquiry is read, priced against your rules and drafted in your format. A person checks it, changes what they want and sends it. **Show the list** 1. 2. 3. 4. [Estimation: what it does and what it needs from you](https://www.fenwickautomation.com/services/estimation.md)
- **Lead qualification**: You only spend time on work worth winning. Every enquiry is checked against your rules for the work you want, as it arrives. The ones that fit reach a person the same day. The rest are parked, with the reason, for a person to review. **Show the list** 1. 2. 3. 4. 5. [Lead qualification: what it does and what it needs from you](https://www.fenwickautomation.com/services/lead-qualification.md)
- **Forms and documents**: Paperwork done before the job starts, not the night before. Forms, process documents, procedures and checklists pre-filled from your records and your own templates, with the gaps listed first for the person who checks or signs. **Show the list** 1. 2. 3. 4. [Forms and documents: what it does and what it needs from you](https://www.fenwickautomation.com/services/forms-and-documents.md)
- **Automating CRM updating**: Nothing slips through because someone forgot to log it. The record kept up to date from the emails, quotes and calls that already happened, as proposed changes that a person approves. **Show the list** 1. 2. 3. [Automating CRM updating: what it does and what it needs from you](https://www.fenwickautomation.com/services/automating-crm-updating.md)
- **Reporting**: You know where the business stands without a Sunday on spreadsheets. The monthly pack in your format, built from data that already exists in your job sheets and systems, read by a person before it goes out. **Show the list** 1. 2. 3. 4. [Reporting: what it does and what it needs from you](https://www.fenwickautomation.com/services/reporting.md)

Not on this list? If it's something your team does by hand more than once a month, bring it to the call. Describe the document that eats the most time. We'll say whether it fits and give you a rough estimate for the first route. [The trades we build for, and the paperwork each one does](https://www.fenwickautomation.com/sectors.md).

## Start with one. Add the next when it's earned.

Each route is built and sold on its own. You start with the one that costs you most. When the next one goes in, it can pick up where the first one stops: a qualified lead starts the estimate, an accepted estimate moves the pipeline, the pipeline feeds the monthly report. A join only goes live after it has passed its own parallel run.

## Smaller systems

Narrower builds, each doing one job. Some sit inside a route, some stand on their own. Each page says what it does, what it needs from you and what stays manual.

## What bespoke actually means here

Most automation is sold to you as a package, and you change how you work to fit the software.

We go the other way. Same documents, same rules. It just does the typing. We map how your business works now, find where the time actually goes, and build the system around that. It runs on your rules, produces your documents in your format, and talks to the software you already pay for. The repetitive parts happen on their own. The parts that need judgement stay with a person, and a person signs anything that costs money or safety.

- **We map how you work now**: One document, start to finish, including the chasing and the waiting.
- **We find where the time goes**: The paid audit uses your real documents and your real data. It works out what the paperwork costs you a year, in your own figures, and says what to build first.
- **We build round your workflow**: Your rules, your templates, your accounts, the software you already pay for.
- **We leave the judgement with people**: The system checks, drafts or assembles. It does not decide.
- **We keep it running**: Failure alerts and monthly running. You hear about a problem before it costs you.

One build changes how one piece of work gets done, not how the whole business runs.

One build goes live from 4 weeks, depending on the size of the job.

## Some of what we've built

Here are some of the systems we have running right now. Some run on a schedule with nobody touching them. Others run when someone asks. These are examples, not a menu. If it happens on a screen more than once a month and someone can describe the rules, it is a candidate.

### Running on a schedule

**Show the systems**

| System | Runs | What happens |
| --- | --- | --- |
| Quote to handover gate | Hourly, weekdays 7am to 6pm | Once terms are accepted and payment is in, the gate checks the handover checklist and every field on the job record, writes a handover summary into the job system, and drafts an email back for anything missing. The chases that follow are drafted too. A person sends each one. |
| Job qualification gate | Hourly | When the site details land on a job, the gate checks the job qualifies. A clean pass moves it to the next stage. A blocked job goes to the owner with a client email already drafted, ready to send. |
| Quote chasing | When a follow-up falls due | A quote goes out, the chase date arrives, and a chase email is drafted. A person checks and sends it. The result is logged back against the job. |
| Monthly sales figures | 1st of the month, about 9am | The month's figures pulled from the job system and entered into the sales spreadsheet, with a paste-ready block as the fallback if the browser route is down. |
| Search and AI-answer health | Weekly and monthly | A weekly technical check of the website, a monthly score for how often it shows up in AI answers, a competitor watch, and a Monday summary. Alerts go out as they happen. |

### Run on demand

**Show the systems**

| System | What happens |
| --- | --- |
| Estimation | Enquiry lands, scope and gaps are checked, the quote pack is built, the covering email is drafted. A person adjusts the price and sends. |
| Forms and documents | A RAMS task on a job creates the job folder, fills the RAMS template from the job details, inserts the site plan, and emails the draft to the person who signs it off with the gaps flagged. |
| Article build | Topic picked, article written, web page and structured data generated with a preview. A person reviews and publishes. |
| Notes to one-pager | Messy meeting notes pasted in, structured, and a one-page summary out, ready to send. |
| Plan my week | The next seven days read, live work identified, the diary blocked out in the owner's own colour scheme. |
| Email in your voice | You name the recipient and what the email is for. It is drafted in the tone you have set for them, formal, transactional or friendly, the way you would write it. You read it and send it. |
| Cold outreach | You pick a target. It is looked up, and an intro email drafted into your drafts folder for you to read, change and send, or not. |
| Social commenting | The contact tracker read, the people quiet for the period you set found, and a one-line comment drafted for each. A person approves it before it is posted from the company account, and the date is logged back. |
| Social posts | Posts drafted in your voice on a schedule you set, for the company account and your own. Each goes up once a person has approved it. |
| The quote board | Open quotes and the calendar pulled into a dashboard that updates itself and tracks progress against the monthly target. |

If a mistake would cost money or safety, a person stays in the loop.

Never fully automated where a mistake costs money or safety.

It drafts. You check. You sign. That rule is why every shape above ends with a person. It is also why we turn down work: anyone who wants that last step removed, and businesses over 25 staff, who need a bigger team than us. The process for getting from here to a running system is on the [nine-stage timeline on the About page](https://www.fenwickautomation.com/about.md#how-it-works), and the [Work page](https://www.fenwickautomation.com/work.md) shows what the example systems do day to day.
